Silent Disco Headset Hire Terms and Conditions

1. Agreement Overview

By hiring and using the equipment provided by Supreme Incursions you agree to comply with and be bound by the following terms and conditions. Please read these T&Cs carefully before proceeding with your hire, as they outline important information regarding the use, care, and return of the equipment. Your acceptance of the equipment constitutes your agreement to these terms.

2. Hiring and Usage

  • Restricted Movement: Headsets and related equipment must remain on the agreed premises and cannot be removed from the venue or school grounds during the hire period. Failure to comply will result in additional charges for retrieval or replacement.
  • Security: The hirer is responsible for securing the equipment and preventing theft or unauthorised removal by students or third parties. Loss or theft will incur charges as outlined below.
  • Safe Handling: Protect equipment from extreme weather conditions (heat, wet, or cold), sand, liquids, paint, powders, or other harmful substances. Damage from neglect or improper use will incur repair or replacement charges.
  • Model Correct Use: Instruct students on proper use of headsets to prevent damage. Ensure headsets are not over-stretched or thrown, and place all items on a table. Keep all equipment, including transmitters, microphones, and headsets, off the floor always. Do not allow students to leave the function space with headsets on.
  • Usage: The hirer is only to use the equipment based on the agreed rental date/s. Any usage out of this period will incur additional costs.

3. Postage and Delivery

  • Delivery Method: For standalone hires (i.e., when hired outside an incursion), TNT will be used for both the delivery and return of all equipment. The hirer is responsible for providing the correct delivery address. If the address is incorrect, the hirer will incur additional delivery fees, as well as daily hire charges for any lost rental days due to delays.
  • Incorrect Addresses: The hirer will be responsible for any costs incurred due to incorrect addresses, including redelivery charges. These costs will be based on the daily hire rate until the equipment is successfully returned.
  • Damage During Delivery: Inspect all equipment immediately upon receipt. Notify Supreme Incursions without delay if any items are damaged or missing. Do not use the equipment until the issue is resolved. Failure to report damages promptly may result in charges.
  • Postal Return: All equipment must be left visible and accessible for pick-up, with return slips attached. Items must be available for collection within the agreed-upon time. Failure to do so will result in redelivery charges and daily hire fees until the equipment is received.
  • Returned Equipment: Return all equipment in its original packaging, undamaged, and with all components included. Failure to return all items or any damage to the equipment will result in repair or replacement charges.

4. Loss, Damage, and Safety

  • Lost or Stolen Headsets: $80 + GST per headset.
  • Damaged Headsets: $80 + GST per headset.
  • Damaged Transmitters: $250 + GST each.
  • Multi Chargers: $65 + GST each.
  • Wireless Mic Set-Up (Rode Go): $300 + GST per device.
  • Equipment Care: Ensure equipment is not exposed to harmful conditions such as extreme temperatures, liquids, or physical damage. Damage resulting from improper care will be charged accordingly.
  • Security and Locking Away: Keep equipment in a cool, locked-away space during breaks and ensure it is not left unattended by the hirer or an allocated adult/teacher. Equipment must be securely stored to prevent loss or theft. Use provided zip ties to stop theft.
  • Overcharging: Costs for repair or replacement due to overcharging will be passed on to the hirer.
  • Volume Adjustment: Model and instruct students on how to adjust volume safely. Ensure that students do not adjust each other’s volume. Teachers are responsible for student safety and must provide appropriate support and guidance.

5. Refundable Security Deposit

  • Deposit: A refundable deposit is required before dispatch. Refunds are issued within 7 days after safe and accurate return and inspection.
  • Refund Conditions: Refunds are only provided if all equipment is returned in working order, without damage, missing components, or losses. Costs for repairs, replacements, or late returns will be deducted from the deposit.
  • Late Returns: If the equipment is returned late, a daily hire fee, as listed on our website, will be charged for each day it is overdue. This fee will be deducted from the deposit, and any additional costs will be billed if the deposit does not cover the full amount. If the fault is caused by the courier or out of the hirer’s hands, exceptions can be made.’

6. Cancellations and Fees

  • Booking Confirmation: Bookings are confirmed and cancellation fees apply once an invoice is generated.
  • Cancellation Fees:
    ▪ 50% of the hire fee will be charged if a booking is cancelled between 22-30 days from the event date.
    ▪ 100% of the hire fee will be charged if a booking is cancelled 21 days or less from the event date.
    ▪ No charge will apply if written cancellation is provided more than 30 days before the event. Please ensure you receive an email confirmation from Supreme Incursions to confirm receipt of your cancellation request.

7. Liability and Safety Guidelines

  • Safety Guidelines:
    ▪ Avoid exposing equipment to water, heat, or physical damage.
    ▪ Ensure headsets are used at safe volume levels.
    ▪ Do not attempt unauthorised repairs or modifications. Contact Supreme Incursions for support.
  • Liability: The hirer is fully responsible for the security and proper handling of the equipment, and is liable for any damage or injury resulting from misuse, negligence, or accidents.
  • Teacher Responsibility: Teachers must ensure the safety of their students while using the equipment and provide appropriate support and guidance. Supreme Incursions are not responsible for incorrect use or inadequate support provided by teachers.

8. Equipment Maintenance and Cleaning

  • Cleaning: The hirer must gently clean the headphones and transmitters with wipes provided after each use.
  • Repairs: Contact Supreme Incursions for repairs. Unauthorised repairs will result in full charges for replacements.
